How to calculate a run of show

Enter the event start time, then add every audience-facing segment in order. Give each segment its planned duration and add changeover time separately. The calculator carries every end time forward, so one duration edit updates the rest of the schedule immediately.

Keep content time and buffer time separate

A buffer is operational capacity, not hidden content time. Separating it makes the schedule easier to call backstage and shows exactly where a late segment can be absorbed. Protect larger recovery windows around meals, room changes, and technical resets.

Turn the schedule into a live timer

Use “Open in TimedFlow” to move the calculated segments into the interactive control room. Free users keep the complete calculation and receive five minutes of running time; Pro can run the whole schedule without a duration cap.

Frequently asked questions

What is a run of show?

A run of show is the operational timeline for an event. It lists each segment in order with its planned start, duration, end, and any transition or changeover time the crew needs.

How much changeover buffer should I add?

Simple speaker handoffs often need two to five minutes. Panels, demonstrations, room resets, and technical changes may need ten minutes or more. Use the shortest buffer your crew can repeatedly achieve, then protect a separate recovery reserve.

Is this run of show calculator free?

Yes. You can calculate and copy a rundown of any length without signing in. Free TimedFlow timers run for five minutes before pausing; Pro removes the duration cap.
