Calculate whether an event is still on time

Record the planned and actual duration of each completed segment. The difference is cumulative schedule drift. Add the recovery reserve that remains in the published schedule to see whether the event can still finish as promised.

Use drift as an operational signal

One late segment does not require an immediate cut if the schedule has enough reserve. When the reserve goes negative, the projected finish moves. That is the point to agree on a recovery action and communicate it to the crew.

What is schedule drift?

Schedule drift is the difference between planned elapsed time and actual elapsed time. Positive drift means the event is late; negative drift means it is ahead of plan.

How does recovery buffer work?

Recovery buffer is time intentionally reserved to absorb overruns. The calculator subtracts positive schedule drift from that reserve and shows whether the planned finish can still be protected.

Should I shorten the next segment when the event runs late?

Only when the producer and speaker have agreed on a safe adjustment. Prefer using planned buffers, shortening flexible transitions, or changing a later break before silently cutting essential content.
